Terms & Conditions

1. Who we are

These Terms & Conditions ("Terms") govern your use of the Itinera website, the planning and booking experience offered through it, and Itinera Live Journey™, including the traveler portal, advisor console, and mobile applications (collectively, the "Services"). The Services are provided by Itinera Journey LLC, 30 Gould St Ste R, Sheridan, WY 82801, United States ("Itinera," "we," "us").

By using the Services, submitting a planning request, or purchasing a planning package, you agree to these Terms. If you do not agree, please do not use the Services.

2. Eligibility

You must be at least 18 years old and able to enter into a binding contract to submit a planning request, make a payment, or hold an Itinera Live Journey™ account. Where you provide information about other travelers, you confirm you are authorized to do so.

3. Using the public website

You may browse the website, review destination and Journey content, submit inquiries, and complete a Plan My Trip or booking submission. Browsing the website, selecting a Journey, or submitting a planning request does not itself create a travel booking, reserve any travel arrangement, or confirm availability or price.

  • Package descriptions, destination pages, and editorial content are provided for planning and inspiration.
  • We aim to keep website content accurate and current, but content may contain errors, omissions, or out-of-date information.
  • Any estimate, sample cost, or budget range shown is indicative only and is not a quotation or an offer.
  • The website may be unavailable from time to time for maintenance, technical reasons, or events outside our control.
  • You may not misuse the website, including attempting to gain unauthorized access, interfering with its operation, scraping content at scale, submitting false or fraudulent information, or using it for any unlawful purpose.

4. Customer responsibilities

You are responsible for the accuracy and completeness of the information you provide — including names, contact details, travel dates, traveler counts, budget, and preferences — and for keeping it up to date. You are responsible for passports, visas, entry requirements, health requirements, insurance, and compliance with the laws of the places you travel to. Itinera may share guidance, but you remain responsible for meeting these requirements.

5. Itinera planning services versus travel expenses

Itinera planning services. Itinera planning fees purchase the applicable Itinera planning and service package — the planning, coordination, technology, and advisor support described for that package.

Travel expenses and supplier charges. Flights, accommodations, ground transportation, activities, dining, tours, and other travel arrangements involve separate travel costs payable in addition to the planning fee, and are subject to supplier terms. A planning fee does not pay for your Journey itself.

7. Payments and Stripe

Payments made through the website are processed by Stripe, an independent payment processor. Stripe is not owned or controlled by Itinera, and your payment is also subject to Stripe's own terms. Itinera does not store full payment-card numbers or card security codes.

The amount due at website checkout is paid in full by the booking customer and cannot be split. Selecting "I'll be splitting the travel costs" during booking records your intent for planning purposes only — it does not divide or defer the amount due at checkout.

Where eligible, split or group payment functionality may become available for eligible remaining Journey costs after a booking is created. The booking customer's planning payment, Journey travel costs, and any later eligible split or group payments remain distinct.

Any remaining planning balance is payable as described for your package. Refunds of planning fees, where offered, reflect planning work already performed and are separate from supplier refund rules.

8. Travel suppliers

Flights, hotels, transportation, tours, activities, and other travel arrangements may be provided by third-party travel suppliers. Those arrangements are subject to the supplier's own terms, conditions, cancellation rules, refund rules, availability and restrictions. Itinera coordinates on your behalf but does not operate these services and does not guarantee supplier performance, availability, pricing, refunds, or cancellations.

9. Destination and Journey content

Destination pages, preselected or reference Journeys, editorial travel content, and sample experiences are planning and inspiration materials unless explicitly identified otherwise. A preselected or reference Journey is not a guaranteed itinerary, confirmed availability, a confirmed reservation, guaranteed pricing, or a locked travel arrangement. Actual Journey arrangements are established through the applicable Itinera planning and booking process.

10. Sora and AI assistance

Sora may provide planning assistance, suggestions, summaries, recommendations, and Journey support. AI-generated information may be incomplete or inaccurate. Sora output is not authoritative confirmation of bookings, prices, availability, visa requirements, or legal obligations. Authoritative booking and supplier information remains controlled by the applicable Itinera and supplier records.

11. Acceptable use and customer content

You agree not to use the Services unlawfully, to harass others, to upload malicious code, to attempt to access another traveler's information, or to reverse engineer or disrupt the Services.

You retain ownership of content you provide — notes, preferences, documents, photos, and similar materials. You grant Itinera a limited licence to store, process, and use that content to deliver and support your Journey and the Services. You are responsible for having the rights to any content you submit.

12. Service availability, suspension and termination

We may modify, suspend, or discontinue parts of the Services, and may suspend or terminate access where these Terms are breached, where required by law, or to protect the Services or other travelers. Where an Itinera Live Journey™ account exists, you may stop using it at any time; termination does not affect obligations already incurred, including supplier commitments.

13. Disclaimers

Except where the law says otherwise, the Services are provided "as is" and "as available," without warranties of any kind, whether express or implied, including fitness for a particular purpose, accuracy, or uninterrupted availability.

14. Limitation of liability

To the maximum extent permitted by law, Itinera is not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or goodwill. Itinera's total liability arising out of or relating to the Services is limited to the Itinera planning fees you paid for the Journey giving rise to the claim. Nothing in these Terms limits liability that cannot be limited by law. Itinera is not liable for the acts or omissions of third-party travel suppliers.

15. Governing law

These Terms are governed by the laws of the State of Wyoming, United States, without regard to conflict-of-law rules, and the courts located in Wyoming will have jurisdiction, except where mandatory local law provides otherwise.

Privacy Policy

1. Scope

This policy explains how Itinera Journey LLC collects, uses, shares, and protects personal information across both the public Itinera website and Itinera Live Journey™, including the traveler portal, advisor console, and mobile applications.

2. Information we collect

  • Account and contact information — name, email address, phone number where provided, and account credentials for Itinera Live Journey™.
  • Journey and travel information — destinations, travel dates, traveler counts, itineraries, reservations, and travel documents you choose to store.
  • Travel Wallet contents — documents, confirmations, and passes you add.
  • Payment information — the amount, package, and status of a payment, and limited card metadata returned by our payment processor. We do not store full payment-card numbers or card security codes.
  • Trip Budget and expense information you record.
  • User-generated content — notes, messages, preferences, photos, and other materials you submit.
  • Sora interactions — the prompts and conversations you have with Sora and the responses generated.
  • Device and technical information — device type, operating system, app or browser version, IP address, and diagnostic logs.
  • Permissions you grant, such as location, camera, photo library, or notifications, used only for the feature you enabled.

3. Information collected through the website

When you use Plan My Trip, the booking and intake flow, a contact form, or an inquiry form, we collect the information you provide, which may include:

  • Your name, email address, and phone number where collected.
  • Your selected package, destination selections, or a request for help choosing a destination (Destination Discovery).
  • Journey inspiration or reference Journey selections.
  • Travel dates and date flexibility, traveler count, budget, occasion, and travel preferences.
  • Notes and messages you write to your advisor.
  • Your indication of whether you plan to split Journey travel costs, recorded as planning intent only.
  • Submission and security metadata such as timestamps, submission references used to prevent duplicate requests, and technical information used to detect abuse.
  • Where the website collects them, your acceptance of these Terms, your acknowledgement of this policy, and any optional marketing consent.

We describe these as categories; we do not collect more than what the website forms actually ask for.

4. How we use information

We use personal information to plan, arrange, and support your Journey; to respond to inquiries; to process planning payments; to operate, secure, and improve the Services; to provide Sora assistance; to prevent fraud and duplicate submissions; and to meet legal and accounting obligations.

5. Payments and Stripe

Website planning payments are processed through Stripe. Stripe is an independent company and is not controlled by Itinera; it processes your card details under its own privacy policy. Itinera does not store full payment-card numbers or card security codes.

6. Sharing and subprocessors

We share information with travel suppliers to the extent necessary to arrange your Journey, and with service providers who host our infrastructure, deliver transactional email, process payments, and provide AI processing for Sora. These providers act on our instructions under contract. We may disclose information where required by law, to protect rights and safety, or in connection with a corporate transaction. We do not sell personal information.

7. AI processing

Sora prompts and relevant Journey context may be sent to AI providers to generate responses. We limit what is shared to what the feature needs, and AI output may be incomplete or inaccurate.

8. Operational and marketing communications

Operational Journey communications — booking confirmations, payment receipts, itinerary updates, advisor messages, and service notices — are necessary to service your Journey and are sent as part of the Services.

Optional marketing communications — such as travel inspiration or newsletters — are sent only where you have opted in. You can withdraw consent or unsubscribe at any time; doing so does not stop communications genuinely necessary to service your Journey.

9. Security

We use encryption in transit, access controls, and least-privilege practices to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Retention and deletion

We keep personal information for as long as needed to provide the Services and for the periods established in our existing retention schedule, after which it is deleted or anonymized. Booking, payment, and accounting records are kept for the longer periods required by law. Where a category has no specific established retention period, we keep it only as long as reasonably necessary for the purpose it was collected for, and then delete or anonymize it.

11. Your privacy rights

Depending on where you live, you may have the right to access, correct, delete, port, or restrict the processing of your personal information, to object to certain processing, and to withdraw consent. To exercise these rights, contact privacy@itinerajourney.com. We may need to verify your identity before acting.

Customers with an Itinera Live Journey™ account can also request account deletion through the existing in-account deletion route. Submitting a website inquiry or planning request does not by itself create an Itinera Live Journey™ account.

12. Legal bases

Where the GDPR or similar laws apply, we rely on: performance of a contract (to plan and deliver your Journey), legitimate interests (to secure and improve the Services and prevent fraud), consent (for optional marketing and certain device permissions), and legal obligation (for tax and accounting records).

13. International processing

Itinera is based in the United States and uses service providers that may process information in other countries. Where required, we use appropriate safeguards such as standard contractual clauses for international transfers.

14. Children's privacy

The Services are not directed to children under 13, and we do not knowingly collect their personal information directly. Travelers under 18 may be included in a Journey by a responsible adult who provides their details.

15. Content you choose to share

Content you choose to share with travel companions or publish within the Services may be visible to those recipients. Please consider what you share.

Accessibility

Our commitment

Itinera is committed to providing a website experience that is usable by as broad a range of people as reasonably possible, including people with disabilities. We treat accessibility as ongoing work rather than a finished state.

What we do

  • Semantic HTML structure with a meaningful heading hierarchy and landmarks.
  • Keyboard access to interactive elements, with visible focus indication.
  • Readable text sizes, generous line spacing, and attention to text contrast.
  • Clear labels for links, buttons, and form fields, with error messages presented in text.
  • Alternative text for imagery that carries meaning, and decorative imagery marked as such.
  • Responsive layouts that reflow on phones, tablets, and desktops without horizontal scrolling.
  • Compatibility with common assistive technologies where reasonably possible.

Limitations

We do not claim that the website is perfectly accessible, that it is certified, or that it conforms to a specific WCAG level. The website has not been through a formal third-party accessibility audit. Some content, including material supplied by third parties, may not yet meet our goals.

Reporting an accessibility problem

If you encounter a barrier on this website, please tell us at Hello@itinerajourney.com or through the inquiry form on this website. Describe the page and what happened, and we will respond and work to provide the information or function you needed in an accessible way.

Cookie Policy

Scope

This section applies to the public Itinera website. It describes the cookies and similar browser-storage technologies actually used here.

Strictly necessary

  • Browser session storage used to remember your progress through Plan My Trip and the booking flow — your package selection, answers, and a submission reference used to prevent duplicate requests and duplicate charges. This is cleared when you close the browser tab or complete your request.
  • Browser session storage used to display your confirmation page after a completed request.
  • Where you sign in to an Itinera account, local browser storage used to keep you signed in.
  • Security and infrastructure technology used by our hosting provider to serve pages and protect against abuse.

These technologies are required for the website to function and cannot be switched off through the website.

Preferences

A small amount of browser storage may be used to remember interface preferences. This is not used to track you across websites.

Payment and security

Website payments are completed on Stripe's own hosted checkout page. Stripe sets its own cookies on that page for payment processing and fraud prevention, under Stripe's policies. Itinera does not embed Stripe tracking on this website.

Analytics

We do not currently run third-party analytics cookies or pixels on this website.

Marketing and advertising

We do not use advertising or marketing cookies, retargeting pixels, or cross-site tracking technologies on this website.

Your choices

Because the website currently uses only strictly necessary and preference storage, there is no cookie-preference centre to configure. You can clear or block cookies and browser storage at any time in your browser settings — note that blocking strictly necessary storage may prevent the planning and booking flow from working correctly.

If we introduce analytics or marketing technologies in future, we will update this section and provide an appropriate consent mechanism before those technologies are used.
